How to Use the Canvas

Fill it in with the people who do the work

  • Pick one process, not a department.
  • Write the steps the way they happen today, including the workarounds.
  • Name the systems and the exact fields, not just “the ERP”.
  • Agree where a person approves before anything is final.

Then size it

  • Hours a year: items a week × minutes per item ÷ 60 × 52

What is an AI use-case canvas?

A one-page summary of a single process you might automate: what triggers it, how it runs today, which systems and data it touches, where a person stays in control, and how you will measure success. It is the brief you agree on before anyone builds.

Why scope one process at a time?

A single, well-described process can be built, tested and measured. A broad goal such as using AI in finance cannot. Starting with one process also tells you quickly whether the volume repays the build.
